Access and sharing
Who can see what in OrionGIS — projects, forms and dashboards, published map share links, catalogue datasets, and organizations under Governance.
This page explains what is visible to whom, and what you control.
#Projects and maps
A project and its draft maps belong to the person who created them. A map is only visible to others once you publish it (see below).
#Forms and submissions
A form and its submissions belong to the owner of the forms project. Only the owner can open a form's page and export its submissions in OrionGIS. The Roles panel lists who has been added to the project and what each person may do — add someone with Add Member. See Collect data in the field.
Data collectors should use app users in the Orion Collect app rather than a personal account.
#Published maps
A published map is the deliberate exception: anyone with its share link can view it, without an account. What is shared is a frozen copy of the map, and form answers appear on it only if you ticked them. You can Unpublish at any time and the link stops working. See Publish and share a map.
#Catalogue datasets
Every dataset in the Spatial Data Hub carries a status:

| Published | Published and available to you. |
| Draft | Not published yet. |
| Restricted | Published, but you do not have permission to download it. |
Datasets you upload are private. Only you can see them, in the catalogue, in your projects and in Map Studio. You can make one public from its dataset page (Make public) and take it back with Make private. The curated catalogue datasets are public and visible to everyone. See Upload your own data.
#Dashboards
Signed-in users can open dashboards, and only the dashboard's owner (or an administrator) can edit one. Widgets built on a form only show data to the owner of that form's project; anyone else sees an empty widget. See Build a dashboard.
#Governance and organizations
Choose Governance in the sidebar to see the organizations on the platform. Each card shows the organization's name, description and whether it is Public, Public (invite to join) or Private. Open one to see its Managers and Members.
#Platform administrators
Orion platform staff administer the platform and its catalogue. If you need help with your account or data, contact them through Contact Admin in the sidebar.
#Good practice
- Share the smallest amount that does the job: publish a map rather than sharing raw data.
- For sensitive survey data, tick Answers shown on published maps for as few questions as possible.
- Remove people from a project when they no longer need access.
