Collect data in the field

Once a form is published there are three ways to get it in front of the people collecting data.

#1. The Orion Collect app

Use this for regular field teams. On the form's page, open the App users panel:

1. Enter the Data collector's name — for example "Field Enumerator 1" — and choose Create & Generate QR. This creates a login just for that person and device, not a full account.
2. Open the app on the phone and scan the QR code shown, or enter the server URL shown under it manually. You can bring the QR code back later with Show QR.
3. The form appears in the app, ready to fill in.

Collectors can be removed at any time from the same panel, which cuts off that device's access.

#2. Public share links

For open surveys where you do not want to manage users — a community feedback form, a quick poll — create a share link. Give it a short name (for example "Community outreach") and send the URL to anyone; they fill the form in their browser. You can see the links you have made and revoke any of them to stop it working.

#3. In the browser

Signed-in members can fill in a form directly on the web from its page.

#Working offline

Collection is offline-first. Forms, drafts and finished submissions are stored on the device, so a day without signal is not a day without data. As soon as the device reconnects the submissions are sent automatically — there is no manual upload step and nothing is lost.

#Photos and GPS

A submission can carry photographs, GPS positions and any attributes you asked for, all in the same record.

#Who can access the project

The Roles panel lists the project's members and what each may do. The owner always has full access. Add a member from Add Project Member.

#Shared reference lists

If several forms need the same list of options — for example every health facility — you can keep it once as a shared reference list (called an entity list) that forms in the project can read from and write to.
