Review and export submissions
Read incoming submissions, mark them Approved, Has Issues or Rejected, and export the data in open formats.
#See the submissions
Open a form from Collect. Its page shows a summary at the top and a table of submissions. The table uses your questions' real wording as column headings, not internal codes. Click a submission to read every answer, see attached photos, and — for a location question — jump to that point on a map.
#Review states
Each submission has a review state you set as you check it:
| State | Use it when |
|---|---|
| Received | It has come in and nobody has looked at it yet (the default). |
| Approved | You have checked it and it is good. |
| Has Issues | Something needs a second look or a correction. |
| Rejected | It should not be used. |
The review state travels with the data. On a project's form layer you can choose Show approved submissions only, so a map draws only what you have signed off. See Form data as a map layer.
#Flagged submissions
OrionAI checks every form's submissions and highlights the ones that need a second look:
- Possible duplicate: every answer is the same as an earlier submission.
- Unusual value: a number far from what that site usually reports (or from the rest of the form, when the form has no facility or site question). Only the most extreme few are flagged.
- Filled in very fast: the form was completed in under a minute. This check is skipped on forms that are mostly typed in from paper records.
Flagged rows are shaded, with the reason underneath. Click Show flagged only to see just those. If a flag is fine, click Looks fine and it won't be shown again. When new submissions are flagged, the form's owner gets a notification in the bell, and they appear in the daily brief.
#Export
At the top right of the form's page, choose Export CSV to download the submissions as a table for a spreadsheet, or Export GeoJSON to download them as points for GIS software.
Any single submission can be printed from its page for a paper record.
#Keeping data tidy
Don't delete a submission that merely looks wrong — mark it Has Issues or Rejected so the record of what was received is preserved.
#Ask OrionAI about submissions
On the form's page, click Who submits most? or ask your own question, for example "which submitter has the most rejected submissions?". OrionAI counts the submissions themselves by submitter, review state, day or answer. See The Ask OrionAI panel.
